Assistant Vice President, Advancement Communications and Marketing

The Opportunity:

The Assistant Vice President leads the development and execution of the Advancement Marketing and Communications program, ensuring that the Advancement brand identity is consistent with the UCF brand and that there is a strategic and results-driven approach to communications with alumni, donors, prospects, and community members. This position will play a critical role in the communications, marketing, and branding strategies for UCF's next comprehensive campaign.

Responsibilities:

  • Develop, implement, and evaluate a comprehensive communications and marketing plan that supports the organization's strategic goals and campaign aspirations and reaches a diverse constituent base across all media including but not limited to publications, video, web, digital, and social media.

  • Serve as Advancement's Chief Communications Officer with key partners including the Office of the President, UCF's central marketing team, the UCF Foundation Board of Directors, the UCF Alumni Board, the UCF Board of Trustees, and colleagues across advancement. Serve as the marketing and communications advisor to the Senior Vice President for Advancement and Partnerships and CEO of the UCF Foundation, Inc., UCF's president, UCF's central communications and marketing team, and other institutional leaders regarding communication strategies and responses to breaking news, reputational impacts, major decisions, and events that intersect with UCF Advancement and Foundation priorities.

  • Serve as the primary point of contact for media issues related to philanthropy and alumni relations.

  • Develop and continually manage a system to measure the effectiveness of marketing and communication-related initiatives.

  • Build and maintain collaborative and effective working relationships internally and externally with academic deans and department leaders, faculty, UCF athletics, administrative leaders, media, and the Florida business and national nonprofit sector in ways that help coordinate advancement marketing and communication efforts across all areas of UCF and in external relationships important to constituent engagement and philanthropy.

  • Oversee the visual identity and branding of Advancement in keeping with the UCF brand. Develop, disseminate, and evaluate key messages for print and digital materials, briefing materials for Advancement staff and volunteer leaders (internal and external) ensuring that messages and materials are linked to a common and agreed upon set of core goals.

  • Lead and mentor staff, providing strategic leadership and vision in directing the activities of the communications, donor relations, and stewardship/events teams for Advancement, ensuring a culture and practice of shared resources in stewardship, creative services, digital strategy and publications development and dissemination.

  • Review and make recommendations to Advancement leadership on partnerships and sponsorships in support of organization goals and review all contracts with external vendors in design, printing, and creative.

  • Develop and lead creative campaigns and manage selected university-wide and college/unit-specific projects as needed and appropriate.

  • Oversee the department's budget and ensure that resources are linked to priorities.

Minimum Qualifications:

Bachelor's or Master's degree and 10+ years relevant experience with at least 5+ years of leadership experience.

Preferred Qualifications:

  • Communications and marketing experience in a higher education or nonprofit environment.

  • Experience leading communications and branding efforts for a comprehensive fundraising campaign.

Associate Director, Alumni Board Relations

The Opportunity:

The Associate Director for Alumni Board Relations and Development manages all aspects of the UCF Alumni board meetings including planning and organizing committee and full board meetings. Works with various members of the UCF Advancement team to coordinate all logistics for meetings and serves as backup to the UCF Foundation Board liaison.   • Maintains the official records of the Alumni Board to ensure compliance with federal, state, and local regulations. Serves as historian and ensures that meeting minutes are properly recorded and formally reviewed to create official meeting records.

  • Oversees the preparation of special recognition and gifts for the board. Maintains biographic, demographic, and preference data and ensures the Alumni Board section of the UCF Alumni website is up-to-date.

Assistant Director, Advancement Data Management

The Opportunity:

This Assistant Director, Advancement Data Management will provide leadership and day-to-day supervision of the Advancement Data Management team in managing the integrity and quality of data within the Advancement CRM. Assist with data acquisition by creating various avenues for pushing data into the CRM from a variety of internal and external sources. Manages data audits, reviews KPI reports and serves in leadership roles to assist the division with data management decisions. Contribute to the Advancement data governance decisions, business processes and training program.

This position offers a hybrid remote work option with supervisory approval.

Responsibilities:

  • Daily supervision of Advancement Data team focusing particularly in the areas of data integrity, responsiveness, efficient data processing and data quality needs.

  • Reviews a series of KPI reports to look for areas of concern related to data quality and integrity. Manages the data audit calendar looking for data not entered to standard. Generate and supervise data cleanup projects. Work with the Assistant Director, Gift Services for revenue- based cleanup projects.

  • Establish programs and procedures to ensure the proactive gathering of data from board lists, athletics, scholarship recipients, advisory boards, and events for solicitation purposes. Oversee the maintenance of electronic bridges to and from other campus data systems, as necessary. Oversee campus data enrichment projects (advisory boards, clubs, Greek life).

  • Create custom imports and serve as liaison to vendors or other internal teams who help develop complex custom imports.

  • Evaluate present database features to determine whether some functions can be automated to improve turnaround time.

  • Serve as Logistics coordinator for Data Enrichment and Enhancement Committee. Tracking agenda items, creating minutes, following up on open action items and submitting service request tickets.

  • Stay abreast of best practices and informed of external laws and regulations that drive data governance policies.

  • Is the resident expert for other personnel involved in constituent data and records management, resolving problems arising from ambiguity of data and revising policies and procedures as needed; consults with supervisor if decisions require major changes in specified procedures.

  • Ensure that all Advancement Data staff are cross trained as appropriate in each of the functional areas within the team. Assist with training new division employees.

  • Participate in division long-term planning related to data governance; keep updated on university-level policies and procedures that impact governance decisions.

  • Participate in associations and other professional networks to advance UCF’s practice and establish UCF Advancement as an industry thought leader.

Minimum Qualifications:

Bachelor's or Master's degree and 4+ years of relevant experience

Preferred Qualifications:

  • Experience in an Advancement setting, preferably in a higher education environment;

Executive Assistant I

The Opportunity:

The Executive Assistant, Alumni Engagement coordinates the overall organizational needs of the Assistant Vice President of Alumni Engagement and supports the Alumni Engagement team through administrative tasks. This position offers a hybrid remote work option with supervisory approval.

Responsibilities:

  • Maintains a complex calendar for the Assistant Vice President of Alumni Engagement and the Director of Alumni Engagement which includes planning meetings, alumni visits, internal and external meetings and events.

  • Prepares professional correspondence including emails, letters, memos, contact reports, proposals, meeting agendas and minutes, travel packets and manages incoming mail composing replies to general inquiries.

  • Coordinates all aspects of the Alumni Engagement Team's individual and team meetings including scheduling dates, reserving meeting locations, crafting meeting agendas, organizing speakers/presentations, assembling supporting materials and taking, transcribing, and distributing minutes.

  • Assists the Assistant Vice President of Alumni Engagement and the Director of Alumni Engagement with the development, monitoring and reconciliation of account budgets.

  • Coordinates collection of vendor invoices and backup documentation and manages ongoing vendor payment processes for the entire Alumni Engagement Team in Workday. Prepare monthly corporate credit card expenditure statements for the Alumni Engagement Team. Process staff and volunteer reimbursements as needed.

  • Coordinates local and national travel arrangements for the Alumni Engagement Team which involves adherence to the travel policies and procedures of UCF Advancement.

  • Manages and traffics all internal work order requests in Basecamp project management software.

  • Maintains the knights@ucfalumni.com email inbox by fielding engagement related questions, composing replies and/or forwarding messages to appropriate UCF Advancement staff and tracking email inquiry data in the constituent database.

  • Performs website, UCF Knights Network, social media and vanity email updates for the Alumni Engagement Team as needed.

  • Manages the supply inventory and reservation system for the Alumni Engagement Team by monitoring inventory levels, purchasing and restocking supplies, coordinating the shipping and receiving of supplies with facilities staff and distribution of supplies as applicable.

  • Coordinates talent recruitment efforts, candidate correspondence, stakeholder scheduling, interview logistics and facilitates an onboarding plan for new team members including the first day schedule, individual onboarding meetings with department, divisional and campus unit stakeholders; scheduling of system trainings, etc.

  • Assists with event logistical support to the Alumni Engagement Team through tasks such as name tag creation, table tent creation, reformatting or researching registrant data from hardcopy event registration lists for database imports and other documentation essential to event execution. May be asked to provide onsite assistance at events.

  • Assist department personnel with other related duties assigned by the supervisor, which may include but is not limited to research, gathering and entering data, typing, filing, bulk mail-outs, photocopying, assisting in data clean-up efforts, and other constituent record information.

  • Maintains constituent records and enters data into the constituent database. Assists with record-keeping on the alumni shared drives in compliance with UCF Foundation policies.

  • Safeguard the confidentiality of constituent and departmental information and comply with UCF Advancement's data privacy and integrity standards.

Foundation Board Director II

The Opportunity:

In collaboration with the board chair and Executive Team, plans, the Foundation Board Director II organizes and leads the strategic planning efforts to advance the UCF Foundation Board. Responsible for the creation and management of a well coordinated, strategic fundraising plan to maximize support from board members.

Responsibilities:

  • Designs, implements, and manages a comprehensive proactive development plan focused on directing and coordinating activities related to obtaining monetary support from members of the UCF Board of Trustees and the UCF Foundation Board of Directors. Responds to inquiries by board members, tactfully and effectively answering questions and providing information to board members as requested.

  • Assists the Executive Team in reviewing and executing the strategic direction of the Foundation Board and provides strategic direction regarding board membership, involvement, philanthropic participation and bylaws. Oversees resolution of project issues agreed upon by the Board. Oversees that meeting minutes are properly recorded and formally reviewed to create official meeting records.   • Develops and manages a process for tracking board member and committee assignments. Serves as a resource to members on choosing board assignments.

  • Oversees the preparation of special recognition and gifts for the board.

  • Prioritizes action items for the CEO, including responses to inquiries by board members and responds on behalf of the CEO as appropriate. Drafts policy papers and talking points on behalf of the CEO.

  • Regularly updates biographic, demographic, and preference data for the Board in donor database. Responsible for the maintenance and updating of the Board Portal and the Board of Directors section of the website.

  • Maintains a portfolio of donors and prospects, including current board members. Accountable for a six-figure annual fundraising goal and 65+ visits per fiscal year.

Minimum Qualifications:

Bachelor's or Master's degree and 6+ years of relevant experience.

Experience with board relations and governance and managing a fundraising portfolio is preferred.

The Opportunity:

The Database Administrator II (Database Developer) will act as the primary owner and subject matter expert for the department's enterprise data mart, advising on optimal table structures, maintaining data integrity, and extending the data mart and data warehouse. The Opportunity:

This position is an important part of the Advancement Records and Gifts team and will assist with data acquisition and maintenance within the Advancement CRM and across other systems. Primary duties include processing event registrations, biographical batches, BBIS profiles, and other various types of data updates as needed. Associate Director, Alumni Engagement Events

Minimum Qualifications:

Bachelor's or Master's degree and 4+ years of relevant experience

  • Experience in budget management.

The Opportunity:

UCF Advancement seeks a Writer II to join their team! Responsibilities of the Assistant Director, Editorial Content include the creation and publication of content for UCF Advancement through social media accounts, email campaigns, websites, event scripts and other UCF Advancement communications.

This position offers a hybrid remote work option with supervisory approval.

Responsibilities:

  • Identifies, researches, interviews, and writes stories and alumni spotlights relevant to the alumni community.

  • Writes and posts original content for UCF Alumni blog site and UCF Advancement Exposure site.

  • Crafts and develops philanthropic messaging.

  • Drafts event scripts, speeches, program talking points, and assists in all facets of communications.

  • Serves as the primary resource and authority for Alumni Engagement and Annual Giving on best writing practices to provide consistency across the department.

  • Drafts strategically significant correspondence and other materials to support leadership and board initiatives.

  • Reviews and edits communications materials developed by staff members.

  • Builds continuity and assists in maintaining UCF Advancement standards across all communications including websites and email.

  • Collaborates with campus-wide communications specialists.

  • Assists with social media content and advertising campaigns for Facebook and Twitter.

  • Serves as an editorial point of contact for team award submissions and recognition opportunities.

  • Regularly reports on website editorial activity.

  • Monitors internal and external media and briefs leadership on significant news items.
